Policies that travel with the work.
Four policies cover how we handle your information, what you're agreeing to when you engage us, and how cancellations, refunds, and cookies are managed. Written in plain English.
Privacy Policy
Last updated October 2026
Precision Digital Captures Pty Ltd respects your privacy and is committed to protecting the personal information we collect. This policy explains what we collect, how we use it, who we share it with, and what controls you have.
What we collect
We collect personal information only where it is necessary for the services we provide. This typically includes:
- Contact details. Name, email address, phone number, and company name when you submit an enquiry form or correspond with us.
- Transaction details. Billing address, GST details, and the products or services you've purchased, via our payment processor.
- Training records. Where you enrol in either PDC course, short form or long form, we retain records of your progress, assessment outcomes, and the credentials issued to you.
- Enrolment identity records. For training enrolment we collect photo identification (both sides) and your CASA Commercial Drone Operators Certificate (CDOC). These records are required to confirm your eligibility and maintain the enrolment record.
- Site information. Where you commission a reality capture, we hold the site address, project brief, and the deliverables we produce for you.
- Technical information. IP address, browser type, and pages visited at the time of your enquiry, collected automatically by our hosting environment.
How we use it
Your personal information is used only for the purposes for which it was provided, or for closely-related purposes you would reasonably expect. In practice, this means:
- Responding to enquiries and providing quotes.
- Delivering the services or training you've engaged us for.
- Issuing invoices and managing payments, processed by Stripe under their own privacy framework.
- Delivering training materials and enrolment communications.
- Maintaining compliance and record-keeping obligations under our ReOC and Australian tax law.
We do not use your personal information for marketing purposes without your explicit consent, and we do not sell, rent, or trade contact lists to third parties.
Who we share it with
We share personal information only with third parties who help us deliver our services, and only where required:
- Stripe. Payment processing. Your card details are handled directly by Stripe; we never see or store them.
- WordPress and plugin providers. Our website platform and the plugins that support our enquiry forms, learning management, and email delivery.
- Email service provider. Used for the transactional emails that support your enrolment and order confirmation.
- Pix4D. Where you enrol in the long course, we provide your email address to Pix4D to grant access to the classroom software licence and to register you for the PIX4D certification exam. Pix4D also issues the PIX4Dmatic Certified Operator credential in your name.
- Professional advisors. Our accountant, legal advisor, and insurers, where necessary.
We will also disclose personal information where required by law, or where it is necessary to protect the rights, property, or safety of Precision Digital Captures, our clients, our students, or the public.
How we store and protect it
Personal information is stored on secured servers managed by our hosting provider, with access restricted to personnel who need it to perform their work. Where information is retained on local systems, it is protected by device-level security and access controls.
We retain personal information for as long as it is needed for the purposes for which it was collected, or for as long as the law requires.
How long we keep records
Retention periods differ by record type, because different legal frameworks apply:
- PDC training records and financial records. Retained for a minimum of seven years in line with Australian tax and ReOC record-keeping requirements.
- Capture work deliverables. Retained for as long as necessary to support warranty, insurance, or dispute obligations, and for a minimum of seven years from delivery.
Your rights
You have the right to request access to the personal information we hold about you, and to ask us to correct it if it is inaccurate. You can also ask us to delete information we no longer need, unless a legal retention obligation applies.
To make any such request, email manager@precisiondigitalcaptures.com. We will respond within 30 days.
Complaints
If you have a concern about how we have handled your personal information, please contact us first so we can address it directly. If you are not satisfied with our response, you can escalate the matter to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Terms & Conditions
Last updated October 2026
These Terms & Conditions apply to all work commissioned with Precision Digital Captures Pty Ltd, whether for capture services, training, or ongoing engagement. By engaging us or enrolling in a course, you agree to the terms set out below.
1. Quotes and booking
All quotes are provided in writing and are valid for 30 days from the date of issue unless stated otherwise. Quotes are based on the scope described at the time of quoting. Changes to scope may require a revised quote.
For capture services, work commences once you accept the quote in writing and, where a deposit is required, once the deposit has cleared. For course enrolments, your seat is secured once the deposit or full payment has been received.
2. Pricing and GST
All prices are quoted in Australian Dollars. Unless expressly stated otherwise, prices are exclusive of GST. GST is applied at the current rate at the time of invoicing.
For Australian businesses registered for GST, the GST component is claimable.
3. Payment terms
Capture services: Standard terms are a 50% deposit on acceptance and the balance on delivery, unless otherwise agreed in writing. Payment is due within 7 days of invoice date.
Course enrolments: Course fees are payable by one of the following mechanisms:
- Short course. Full payment at time of enrolment. No deposit path.
- Long course. Full payment at time of enrolment, or a $1,000 deposit at time of enrolment with the balance invoiced when you confirm your intake date. Intake dates must be confirmed at least 14 days before course commencement, so the balance is payable at least 14 days before your confirmed start date.
- Where Afterpay or Klarna instalments are selected, the instalment schedule is managed by the provider and is subject to the provider's own terms.
If the long course balance is not received by the required date, the enrolment is deferred to the next available intake, subject to availability.
4. Delivery of services
Delivery timeframes are provided as estimates in good faith. Weather conditions, site access, airspace restrictions, and other factors outside our control may extend these timeframes. Where a delay is anticipated, we will notify you as soon as it becomes apparent.
Where a capture cannot be completed due to weather or site conditions on the scheduled date, we will reschedule at no additional cost.
5. Deliverables and intellectual property
On receipt of full payment, all deliverables produced for you in connection with the commissioned work become your property. You may use them internally, share them with your stakeholders, and reference them in your own materials.
Precision Digital Captures retains the right to use anonymised examples of completed work for portfolio, marketing, and case study purposes, unless you request in writing that we do not do so. We will not identify you as a client or disclose commercial details without your written permission.
The underlying software, tools, methods, and workflows used to produce the deliverables remain the property of Precision Digital Captures or our third-party suppliers.
6. Course-specific terms
These terms apply to enrolment in, and completion of, both PDC courses: the short form (PDC Introduction to Aerial Surveying) and the long form (PDC Advanced Aerial Surveying).
6.1 Course structure
The short form is three days of live training plus a pre-course component. The long form is five days of live training plus the same pre-course. Both include theory, a live field day, processing, and assessment. The long form extends into advanced processing, staged own-data workflows, and the PIX4D certification exam. Detailed day-by-day delivery is set out on the Course page.
6.2 Pre-enrolment and prerequisites
Enrolment in either course requires completion of the following, both of which are reviewed before your seat is confirmed:
- Photo identification. Front and back of a government-issued photo ID, retained as part of the enrolment record.
- CASA Commercial Drone Operators Certificate (CDOC). Completed before course commencement and forwarded to training@precisiondigitalcaptures.com on pass. The CDOC pathway for RePL holders is different: RePL holders confirm their current RePL, skip the pre-course CDOC component, and join from Day 1.
6.3 Credentials issued on completion
On successful completion, both courses issue a stack of credentials. The stack differs by course:
- Short form (two credentials): CASA Commercial Drone Operators Certificate · PDC Introduction to Aerial Surveying.
- Long form (three credentials): CASA Commercial Drone Operators Certificate · PIX4Dmatic Certified Operator · PDC Advanced Aerial Surveying.
No credential issues for partial completion. Where an assessment is not satisfactory, we will describe what is outstanding and the re-assessment path.
6.4 Assessment and re-assessment
Assessment runs against the criteria published in each course's assessment tools. PDC's assessment standard for the PDC-issued credentials reflects the same production-grade criteria we apply to our own commercial work.
One re-assessment is offered at no additional fee for the PDC-issued credentials, within the course window.
6.5 Software licence
The long form provides access to the classroom PIX4Dmatic software licence for the duration of the intake. Continued use of the software after the course requires an individual licence, arranged directly with Pix4D.
6.6 PIX4D certification exam re-sit
One PIX4D certification exam attempt is included in the long form fee. Additional exam attempts are subject to a re-sit fee of $550 ex GST per attempt, payable before the re-sit is scheduled. The re-sit fee is a direct cost passed through from Pix4D's exam arrangement and is not refundable once an attempt has been scheduled.
7. Client responsibilities
Where you are commissioning a capture, you agree to:
- Provide accurate information about the site, including any known hazards and restricted access areas.
- Obtain any necessary permissions from third parties whose land may need to be accessed or flown over.
- Ensure site access is available at the agreed time, and that any site personnel are briefed on our operations.
- Respond promptly to requests for feedback or approval during the project.
Where your course enrolment depends on pre-course prerequisites (CDOC, photo ID), you agree to complete and provide evidence of those prerequisites within the timeframes set out on the Course page and in the welcome email. Where a prerequisite is not met in time, your enrolment may be deferred to a later intake or cancelled with a refund in accordance with the Refund Policy.
Additional costs arising from inaccurate information, access issues, or changes to agreed scope will be quoted separately.
8. Limitation of liability
Our liability is limited to the value of the specific services provided. To the extent permitted by law, Precision Digital Captures is not liable for indirect or consequential loss arising from the use of our deliverables.
Nothing in these terms excludes, restricts, or modifies any consumer guarantee, right, or remedy that you may have under the Australian Consumer Law, or any other applicable law that cannot be excluded, restricted, or modified by agreement.
9. Changes to these terms
We may amend these terms from time to time. The current version is always the one published on this page, with the last-updated date shown at the top. Amendments are not retroactive. The terms applicable to your engagement are the terms in effect at the time of your acceptance.
10. Governing law
These terms are governed by the laws of Queensland, Australia. Any dispute arising in connection with them is subject to the exclusive jurisdiction of the courts of Queensland.

Refund Policy
Last updated October 2026
Our refund terms reflect the nature of what we deliver: course intakes with limited seats and material costs committed on enrolment, and custom capture services with preparation time and equipment locked in on acceptance. They sit alongside your rights under the Australian Consumer Law, which are not affected by this policy and which take precedence where they apply.
Your rights under the Australian Consumer Law
Our courses and services come with guarantees that cannot be excluded under the Australian Consumer Law. You are entitled to a remedy, including a refund, if a service is not delivered with due care and skill, is not fit for the purpose you made known to us, is not delivered within a reasonable time, or does not match the description.
Refunds under those guarantees are separate from the voluntary terms below, and take precedence where they apply.
Before you cancel, consider deferring
Life gets in the way. Before you cancel, PDC would much rather keep you on the course than lose you, and we will work with you to find a date that fits your circumstances.
If the cohort date you originally booked can't be made, we will defer your seat to the next available cohort at no additional cost. There is no fee for deferring, no penalty, and no loss of the course fee you've already paid. This is the path we recommend first, and it is available once per enrolment.
If a second cohort date is also missed after the first deferral has been used, the seat is forfeited and no further reinstatement will be offered. In that case, re-joining the course requires a complete new booking and full repayment of the course fee. We will always tell you this in advance so the choice is yours.
Deferring is a courtesy we extend because we want students to complete the course, not lose it because of a schedule clash. Take it early, take it once, and we will do everything on our side to move you onto a cohort that works.
Course enrolments, the refund schedule
Course intakes are capped, and material costs such as the PIX4Dmatic classroom licence and the field day site booking are committed from the moment your seat is confirmed. The refund terms are built around that.
Six scenarios, applying across both the short form and the long form:
- Withdrawal before the welcome email lands. Full refund of everything paid, with no administration fee. The cooling-off point is the moment the welcome email and course materials are dispatched, not the day of purchase. Change your mind before that, you get everything back.
- Cancellation 14 or more days before Day 1. Full refund of everything paid, less a $75 administration fee. The fee covers the enrolment administration already completed against your intake and the seat-release cost on a capped cohort.
- Cancellation inside 14 days of Day 1. No refund. The seat has been locked against a capped intake, the workbook has been issued, and the field day site and equipment have been confirmed. In genuine exceptional circumstances (medical emergency, bereavement, or a comparable circumstance), contact us directly and we will work out what is possible for your situation.
- Withdrawal after Day 1 has started. No refund. The course has commenced and the assessment cycle is underway.
- No-show at Day 1. No refund. The seat was held against the intake for you and could not be released to another student.
- Change of mind after the welcome email. No refund, except where the Australian Consumer Law gives you a remedy that overrides this term.
If PDC cancels an intake, cannot run the course for any reason within our control, or cannot provide the training as described, you receive a full refund of everything paid. No administration fee. No conditions. The refund is processed within 5 to 10 business days of the cancellation being confirmed in writing.
Capture services
Capture work is quoted per brief, with equipment, site access, and travel locked in on acceptance. Terms are:
- At least 14 days before the scheduled capture date. Full refund of any deposit paid.
- Between 7 and 14 days before the scheduled capture date. Refund of the deposit, less any documented preparation costs already incurred (equipment hire, site access, travel booked).
- Less than 7 days before the scheduled capture date. The deposit is non-refundable, as equipment, site, and travel arrangements have been locked in.
Where the capture has already been completed, refunds are not available for the capture component. If the deliverable fails to meet the accuracy or specification stated in the quote, we will reprocess at no charge, or where reprocessing cannot meet the standard, refund the affected deliverable in full.
Exam re-sit fees
The PIX4D certification exam is issued by Pix4D. One exam attempt is included in the long form fee. Any additional exam attempt is subject to a re-sit fee of $550 ex GST per attempt, payable before the re-sit is scheduled. Re-sit fees are direct costs passed through from Pix4D's examination arrangement and are not refundable once an attempt has been scheduled.
This does not apply to the PDC-issued credentials, which carry one free re-assessment in accordance with section 6.4 of the Terms. Where a second re-assessment is required beyond the free one, contact us directly so we can work out the arrangement that suits your circumstances.
How to request a refund
Email manager@precisiondigitalcaptures.com with your order or invoice reference and the reason for the request. We will confirm receipt within one business day, and provide a decision within three business days.
Approved refunds are processed against the original payment method within 5 to 10 business days of approval. Card refunds may vary in settlement time depending on your issuer.

Cookie Policy
Last updated October 2026
Our website uses a small number of cookies to make the site work correctly and to protect it against form abuse. This policy explains what cookies we use, who sets them, and how you can control them.
What cookies are
Cookies are small text files placed on your device by the website you're visiting. They allow the site to remember information between pages and visits, such as whether you're logged in, or whether a form has been submitted. Some cookies are set by the site you're on. Others are set by third-party services the site embeds.
Cookies we currently use
As of the date of this policy, this website uses the following categories of cookies:
- Essential cookies. Required for the platform to function. These include session cookies that keep you logged in during an active session, cookies that maintain the integrity of form submissions, and cookies that hold shopping cart and checkout state through the enrolment flow.
- Security cookies. Set by Google reCAPTCHA to protect our enquiry forms against spam and automated submission. These are placed on our pages where a form is present.
- Preference cookies. Set only when you make a selection the site needs to remember, for example dismissing a notification. These persist for a limited time.
We do not currently use behavioural advertising cookies, tracking pixels, or cross-site profiling scripts.
What may change in future
We may add analytical cookies, such as website traffic reporting, or additional security tooling as the site evolves. Where new cookie categories are introduced, this policy will be updated in advance with a revised last-updated date. Where required, we will request consent through a cookie banner before setting non-essential cookies.
The current site runs on essential and security cookies only. If you see this notice and no consent banner is present, that baseline is still in effect.
How to control cookies
You can control or delete cookies through your browser settings at any time. Most browsers allow you to:
- See and delete individual cookies.
- Block cookies from specific sites.
- Block all third-party cookies.
- Clear all cookies when you close the browser.
Note that blocking essential cookies may prevent parts of the site from working correctly, particularly login areas, form submissions, and the checkout flow. Blocking reCAPTCHA cookies may prevent enquiry forms from submitting.
Third-party services embedded on our pages
Where third-party services are embedded on our site, those services may set cookies or similar technologies under their own privacy frameworks. The current embedded services are:
- Realsee. The 3D model viewer that powers the eight live digital twin projects across our Home, Course, Training, Services, Projects, and Industry Facts pages. Realsee may set cookies to maintain viewer state and session continuity while you're walking through a model.
- Google Fonts. The font delivery network that serves Be Vietnam Pro and Playfair Display across the site. Google may log font requests against your IP address as part of their standard font delivery infrastructure.
- Google reCAPTCHA. The security layer on our enquiry form, covered under "Security cookies" above.
You can review and control third-party cookies through your browser's third-party cookie settings. If we embed additional third-party services in future, for example video content platforms when the training module library goes live, this policy will be updated in advance with a revised last-updated date.
